Welcome Back Bash

Description

The Welcome Back Bash is a dance jointly held by Kappa Kappa Psi and Tau Beta Sigma. It occurs on the Saturday night immediately following band camp, before the start of classes on Monday.

It is open and free to all members of the band department.

Location
The Welcome Back Bash is usually located in the Armory, on the Memorial Mall, or at Slayter.

  • The Armory is a very large space and will be extremely warm. There will also be a fee to use the building, as they have to have someone open and lock the building for us. However, it is very close to Elliott, protected from the weather, and is guarenteed to have plenty of room.
    • If you use the armory, you may want to borrow the two large fans used for cooling Rm 015 in Elliott.
  • The Memorial Mall is a wide open space. You would need to mark off an area for the dance. Also, considerations for security and keeping non-band members out will have to be taken. As the entire dance would be outside, you'll also need a rain location in case of inclement weather. Lighting of some sort will be needed for when the sun sets. In general, this is not a recommended location, especially because of the non-band foot traffic in the area.
  • Slayter Hill is probably the best location for the Welcome Back Bash. It is outside, keeping it cool, and covered, so no rain location is necessary. It's close to campus, but relatively isolated, and it's large enough for the entire band without being an unmanagable space. It's also free for us to use.
  • Feel free to investigate other locations for the event. These are just the three places the Bash has been held since 2004.

Be sure to fill out an event planning form at least 2 weeks before the Welcome Back Bash in order to secure the location. This means the paperwork needs to be done at least a full week BEFORE band camp even starts.

Music
In general, KKY has provided the DJ and music for the Welcome Back Bash. The last few years, instead of using a professional DJ service, we have done the music in-house. Using the announcement speakers from Operations, a laptop, and a pre-prepared playlist of music, we can save a lot of money. You should speak to a brother in the Operations office about acquiring the speakers, how to set them up properly, and how to use them with a laptop. Then create a music list that will last the entirety of the Bash, plus or minus 15 minutes. This way no one will have to monitor the music for the entire dance. As of Spring 2007, there were a number of sisters involved in swing dancing, so you may want to include some music for them. One of the tables should be used for the laptop (and soundboard, if it's needed).

Food
In general, TBS has handled the food. They usually provide cookies and punch, along with the cups and plates needed for whatever food they provide. In the case that KKY needs to provide food, be sure to talk to members of TBS about how much food they provided in the past so that we do not severely over- or underbuy. A table or two will be needed for the food.

Decorations
While decorations are not a priority, there are always a few people in KKY or TBS that feel they are necessary. The key here is to not go overboard with them. KKY and TBS split the cost of the entire event, ultimately, but it's still important to spend as little as possible on the event.

Guest List
The Business Office of Student Organizations (BOSO) may require you to keep a list of every person at the event. While this is generally only needed for events requiring paid admission (like the Band Formal in the spring), it doesn't hurt to keep a list of everyone attending. Don't try to write everyone's name down yourself, as you certainly won't know everyone after only 1 week of band camp. Instead, simply make an announcement and have them list their own names.
